Acceptable Use Policy

This Acceptable Use Policy forms part of the RewardsPilot Terms of Business and applies to all users of the Rewards Pilot website, customer portal, payment accounts, cards and associated services.
Failure to comply with this Policy may result in suspension or termination of your account.
1. Purpose
The purpose of this Policy is to ensure the Rewards Pilot platform is used lawfully, fairly and securely while protecting our customers, payment partners and the wider financial system.
2. Compliance with Laws
Customers must comply with all applicable:

- anti-money laundering laws;
- sanctions regulations;
- tax laws;
- payment regulations;
- fraud prevention legislation;
- data protection legislation.
Customers are responsible for ensuring their own legal and regulatory compliance.
3. Permitted Use
The Services may only be used for genuine business purposes. Examples include:
- supplier payments;
- payroll funding (where available);
- HMRC payments;
- stock purchases;
- advertising;
- software subscriptions;
- travel expenses;
- operational business expenditure;
- other legitimate commercial payments.
4. Prohibited Activities
Customers must not use the Services for:
- money laundering;
- terrorist financing;
- tax evasion;
- fraud;
- identity theft;
- bribery or corruption;
- financing criminal activity;
- sanctions evasion;
- deceptive or misleading activity;
- unlawful gambling;
- illegal goods or services;
- child exploitation;
- hate crime;
- cybercrime;
- phishing;
- ransomware;
- malware distribution.
5. Card Misuse
Customers must not:
- artificially create transactions to earn rewards;
- repeatedly refund transactions to generate Avios;
- cycle funds between connected businesses;
- use personal expenditure as business expenditure;
- split transactions to avoid limits;
- manipulate merchant categories.
6. Fraud Prevention
Customers agree that Rewards Pilot may:
- monitor transactions;
- investigate suspicious activity;
- request additional documentation;
- temporarily suspend payments;
- freeze rewards;
- report suspicious activity to relevant authorities where legally required.
7. Identity Verification
Customers must provide accurate identification information whenever requested. Providing false documentation may result in immediate account closure.
8. Security
Customers agree to:
- protect passwords;
- enable multi-factor authentication where available;
- prevent unauthorised access;
- immediately report compromised accounts.
9. Website Use
Users must not:
- attempt to hack the website;
- upload malicious software;
- interfere with system security;
- scrape website data without permission;
- reverse engineer software;
- overload the platform using automated systems.
10. Intellectual Property
Users must not reproduce, distribute or commercially exploit any Rewards Pilot intellectual property without prior written consent.
11. Monitoring
Rewards Pilot reserves the right to monitor:
- transactions;
- website usage;
- account activity;
- login history;
- reward activity;
- fraud indicators.
Monitoring is carried out for security, legal compliance and service improvement.
12. Suspension
Rewards Pilot may suspend accounts immediately where it reasonably believes:
- this Policy has been breached;
- fraud is suspected;
- financial crime risk exists;
- regulatory obligations require suspension.
13. Termination
Repeated or serious breaches may result in:
- permanent account closure;
- cancellation of rewards;
- reporting to regulators or law enforcement where appropriate;
- recovery of losses suffered by Rewards Pilot.
14. Changes to this Policy
Rewards Pilot may amend this Policy from time to time. Material changes will be published on the website and will take effect upon publication unless otherwise stated.
